GENERAL DESCRIPTION:

The Coordinator of Children’s Formation (English) is a mission-driven, tenacious, and reliable individual who will help lead and implement dynamic programming for children at St. Ann. This role requires someone who is passionate about evangelizing children, forming volunteers, and helping families grow in faith. The coordinator plays a crucial role in executing the vision of children’s ministry by designing and managing programs, recruiting and equipping volunteers, and maintaining strong relationships with families. This exempt position involves significant discretion and independent judgment in carrying out ministry functions.

Qualifications

  • Bachelor’s degree (preferably in Theology, Catechesis, Education, or related field).

  • Practicing Catholic in good standing, passionate about the faith and children’s formation.

  • Strong leadership, organizational, and communication skills.

  • Ability to effectively recruit, train, and manage volunteers.

  • Familiarity with child safety protocols and Safe Environment standards.

  • Detail-oriented with the ability to manage multiple projects and deadlines.

  • Must be a member of St. Ann or willing to make St. Ann your parish home if hired.

  • Participate in the life of St. Ann as a parish member.

 

Essential Responsibilities

Program Oversight & Development

  • Design and implement children’s faith formation programs in alignment with parish mission and values.

  • Plan and prepare materials and communications for weekly St. Ann Kids sessions.

  • Maintain updated email lists (via Mailchimp), print security cards, sort t-shirts, prepare group bins and supplies weekly.

  • Send out weekly leader guides and coordinate classroom logistics.

Upfront Ministry

  • Confidently and effectively lead games, catechesis, and prayer in a large group setting.

Volunteer Leadership & Compliance

  • Recruit, interview, train, and support volunteers.

  • Ensure all volunteers meet Safe Environment requirements: background checks, interviews, reference checks, and online training.

  • Lead volunteer appreciation and formation events.

Database & Administrative Management

  • Create and maintain registration and group records in TouchPoint.

  • Coordinate with database manager to ensure leaders have appropriate access for attendance tracking.

  • Maintain accurate attendance records weekly.

Event Coordination

  • Lead or support key children’s ministry events (e.g. VBS, Venite, Night to Shine, Volunteer Trainings, Daddy-Daughter Dance).

  • Handle event logistics: registration, supplies, communication, food orders, and on-site support.

Operations & Communication

  • Order supplies and manage classroom stock.

  • Maintain organization of shared spaces and weekly classroom readiness.

  • Serve as point of contact for Children’s/Youth Ministry printer/copier needs.

  • Collaborate regularly with Director and other ministry staff.

  • Participate in parish-wide meetings and communal life, including worship and service at St. Ann.

Other Duties

  • Perform related duties as assigned by the Director of Children & Youth or Pastor.

  • Complete annual and quarterly reviews, maintain agreed-upon office hours, and follow parish policies.
